Front of House

Community Associate, 5 days/week, (front of house, reception, sales assistant)

The Hive is looking for an ambitious, outgoing individual to be front of house at our coworking spaces in Vietnam. This is a role that suits someone with attractive personal presentation, has a natural way of speaking to people, and knows how to make everyone feel welcome. You’ll be able to multi-task, work in an organised manner and like to get stuck into the detail of things. Customer service will be of second nature, you will thrive off challenges and love being the go to person.

About the Role

A Community Associate is the face of the Hive and the primary point for the community and acts.

Goals and Objectives

  • Demonstrate the Hive’s core values and strive to achieve our mission
  • Support the Location Team team to achieve the following:
  • Learn members’ names and use them daily to greet them
  • Get to know members beyond a ‘hi’ and ‘goodbye’
  • Encourage members to make new connections by acting as an introducer
  • Ensure that your building is faultlessly clean, and operational
  • Ensure that no ball gets dropped
  • If something needs doing you do it yourself
  • If you must pass the baton make sure it goes over the finish line
  • Live and breathe Events – they are the lifeblood of community building
  • Take direction from the Location or Space Manager to support the Community Team as necessary

Duties and Responsibilities

  • Point of Contact
  • Be the first and last point of contact for your building
  • Use members’ first names with every greeting and every goodbye, or good night
  • Cover the front desk during business hours
  • Greet and check-in member guests
  • Greet people who come in for tours, track walk-ins, schedule tours, and send confirmation emails
  • Manage Member check-ins and check-outs
  • Prepare and distribute Location Promotional materials relating to guests or potential members
  • Answer “walk-in” member and guest questions as helpful as you can. Never say ‘I don’t know’
  • Take in and handle Members post handling

Membership Management

  • Work on community initiatives designed to develop connections between members, including member introductions, event support, email and print communications
  • Update online platforms to ensure that all information is accurate and up to date
  • Solve member-related issues to ensure a cohesive community

Events and Community Management

  • Make posters for events, working with Graphics Team as needed
  • Help organise and host events, ensuring the event goes off smoothly and that all visitors understand what the space is for as a coworking space
  • Be active on The Hive Facebook pages and other social media platforms
  • Assist with set-up and breakdown of events, including ordering food and beverages
  • Assist Collate Member News stories for Social Media

Building Operations and Management

  • Assist with move-ins and move-outs; prepare and distribute member welcome packs
  • Assist with operations & maintenance to ensure highest level of member experience
  • Fielding and assigning requests to the building operations teams
  • Manage keycard activations and bike room access requests where applicable
  • Ensuring the building is clean and well kept
  • Ordering consumables
  • Submit building receipts to the Location or Space Manager for expense reports
  • Identify issues for escalation to the Locations Manager and document accordingly

Experience and Requirements

  • Passion and understanding for the Hive’s mission and values
  • Passionate about entrepreneurial communities
  • College graduate with degree preferred, but not required
  • ‘Graduates of life’ will be considered!
  • Customer service and/or sales experience a plus
  • Must have strong verbal and written communication skills
  • Exceptional organisational and multitasking skills
  • Must demonstrate core values of integrity, dependability, self-awareness, excellent work ethic, and empathy for others around them
  • Proficient in basic computer skills
